Whether you are evaluating the Lytho DAM or actively onboarding, taking time to plan before configuration begins sets you up for long-term success. This article is designed to help you think through the foundational decisions that impact how assets are organized, found, governed, and used across your organization. By working through the questions below early, teams can align on processes, structure, and governance so onboarding focuses on configuration rather than rework.

TABLE OF CONTENTS

Map Your Current Processes

Understanding how assets move through your organization today helps ensure your DAM supports real workflows, not assumptions. This section focuses on how assets are created, approved, and accessed so you can identify what’s working, what’s not, and where Lytho DAM can improve efficiency and consistency.

  • Who uploads assets today?
  • If applicable, who reviews or approves assets as they are added?
  • Who defines the information users search by, such as naming conventions, tags, or metadata?
  • Who typically accesses your current file system to find and use assets?
  • What is working well in your current process?
  • What would you like to improve or eliminate?

Audit Your Assets

Not everything in your current file system belongs in your DAM. This section helps you think through which assets should be migrated, which should be left behind, and how to start your DAM with clean, relevant, and usable content from day one.

  • Which assets should be added to your new DAM, and which should be left out?
  • What types of assets will you be managing, such as photos, documents, videos, or design files?
  • Are there outdated, duplicate, or non-compliant assets that should not be migrated?

Define Users and Roles

A successful DAM balances access with control. This section helps you identify who will use the DAM, what they need to do, and what they should see. Clarifying Roles and Permissions early supports adoption, governance, and secure self-service across teams and stakeholders.

  • Who will be using the DAM? For example, designers, project managers, stakeholders, or third-party vendors.
  • What does each role type need to do in the DAM?
    • View and download assets only
    • Upload assets
    • Access Brand Center content or templates
  • What does each User Group need to see?
    • Users may share a role but require different visibility based on brand, region, or team
  • Do you need multiple User Roles with different Permissions based on responsibilities?

Plan Your Tag Taxonomy

Your Tag Taxonomy is the foundation of asset findability and long-term scalability. This section helps you think through how assets should be tagged, grouped, and searched so users can quickly find what they need while maintaining consistency, governance, and flexibility as your DAM grows.

  • What information do users need to search by to quickly find assets?
  • What high-level Tag Groups make sense for your organization, such as brand, region, channel, product, or asset type?
  • What specific Tags would live within each group?
  • A helpful starting point is to review your website navigation or marketing structure and identify items that could translate into Tags or Tag Groups.
  • How should tagging support reporting, compliance, and future growth?
